Court Hire Terms and Conditions

1. Casual Online Court Bookings

1.1 Booking Process

  • All casual court bookings must be made online at www.voyagertennis.com for your selected location.
  • For venues listed under “Book a Court,” a 4-digit pin code will be emailed and texted to provide access through the electronic gate and activate lights as required.

1.2 Cancellations

  • No refunds will be issued for self-cancelled casual bookings.
  • Cancellations can be made online with a minimum 24 hours notice and will receive a credit voucher which will allow them to rebook online at an alternative time.  Cancellations will not be possible within 24hrs online or by contacting the customer service team and a credit will not be provided.
  • For wet weather cancellations, please contact customer service at [email protected] who will issue a credit voucher to rebook.
  • Voyager reserve the right to cancel casual court bookings for purposes such as requiring the court for ongoing Voyager Coaching bookings, events, maintenance, or permanent hire. In these rare instances we will contact to notify you of this cancellation, and offer a refund or alternative solutions.

1.3 Equipment Hire

  • Tennis Racquets and Pickleball Paddles may be hired at venues. In the instance of damage caused or a failure to return this hired equipment, there will be a $100 fee taken from your credit card/method of payment. This fee will be duplicated per Tennis Racquet/ Pickleball Paddle hired which was not returned or was damaged.

1.4 Promotional Codes

  • Promotional codes must be applied at the time of booking and cannot be retrospectively applied to previous transactions.
  • Bookings made prior to the launch of a promotional campaign are not eligible for credits, refunds, or reimbursement of any kind.
  • We kindly ask customers to ensure any promotional offers are valid and active before confirming their booking.

1.5 Court Booking Usage

  • Our online court bookings are intended solely for casual play of Tennis, Pickleball or Futsal/Soccer with friends and family.
  • Organised activities—such as social competitions, coaching sessions, tournaments, birthday parties, corporate events, photoshoots/filming or similar—are not permissible by booking using our online court booking platforms.
  • If you’d like to arrange any organised activities, please contact us at [email protected] for information on costs, availability and eligibility. We reserve the right to refuse access to anyone who does not comply with these guidelines

2. Permanent Court Bookings

2.1 Booking Process

  • Permanent court booking requests can be made by contacting the venue’s customer service team at [email protected].
  • A strict no cancellation policy for permanent court hires with no refunds or credits provided for any reason (including players being away, adverse weather)
  • Courts may be released during State School Holidays and Public Holidays without debits if agreed upon at booking. Payments for Permanent Court Hire will be processed weekly via direct debit from your card or bank account.
  • A 4-digit pin code will be provided via email and text for court access and light activation. By making a permanent booking, you agree to these terms and conditions.

3. Termly Classes & Competitions

3.1 After-School Pickup and Supervision

  • At some Voyager Tennis locations we provide after-school pickup and supervision for registered players attending termly classes to ensure their timely arrival.
  • Parents must collect their children promptly at the end of class; a fee will be incurred for late pickup.
  • In the event that your child cannot attend due to illness, please notify us in advance to assist with planning and adjustments.

3.2 Make-Up Classes

  • Customers are entitled to two make-up lessons per term per enrolment. Requests must be made via the Voyager App at least 24 hours before the scheduled class. Cancellations within 24 hours are ineligible for make-ups, refunds, or credits.
  • Make-up lessons are subject to availability, and prompt booking through the Voyager App is advised. If you change or cancel a make-up class, 24 hours’ notice is required, and a new credit will only be issued if within the two-per-term limit.
  • Make-up lessons are non-refundable, cannot roll over to the next term, and will not reduce future fees.

3.3 Weather Conditions

  • In adverse weather conditions, indoor activities will be organised as a suitable alternative where possible.
  • If rescheduling is necessary, players will be notified via text message.
  • We will notify customers if a lesson is cancelled due to wet weather/extreme heat as soon as practicable, but no more than an hour in advance of the scheduled start time.
  • Make-up classes will be offered for any classes cancelled due to wet weather or extreme heat, and these do not come off the balance of your two make ups you are entitled to as per term 1.2.
  • Please ensure prompt booking of these make up classes using the Voyager App, you can have these make up classes at your preferred location, or other Voyager Locations.

3.4 Cancellations and Public Holidays

  • If cancellation is necessary due to serious injury or valid reasons such as moving more than 10 km from a Voyager location or job loss, a credit voucher may be provided, subject to management approval which may require proof. Automatic enrolment will occur for the next term unless cancellation is requested. To cancel, please email us at least two weeks prior to the new term commencing at [email protected]
  • Junior Classes are conducted in alignment with NSW Public School State Public school terms (And for our Hampton Club in Victoria, the VIC Public School State school terms) and will not run on public holidays, with no charges applied for these days.

  • Adult Classes commence in alignment with the State Public school terms as mentioned above, however they run through the school holidays until the new School Term begins. (For Tweed Heads please check website)

4. Private Lessons

4.1 Booking and Cancellation Policy

  • Private lessons must be scheduled directly with your coach or via the customer service team [email protected]
  • Cancellations must be made with at least 24 hours’ notice by texting your location’s customer service team or your coach directly. Lessons cancelled within 24 hours will incur the full lesson fee.
  • For semi-private lessons, no refunds or reduced fees will be provided for absences of one of the players.

4.2 Weather Conditions

  • Players will be notified of cancellations due to wet weather or extreme heat, and alternative makeup lessons will be arranged as necessary.

5. Holiday Camps

5.1 Drop-off and Pick-up Procedures

  • Please drop off and pick up your child at the designated sign-in desk. Our friendly staff will be responsible for signing players in and out each day.
  • If someone other than the usual person will be collecting your child, please inform us in advance. Please notify our staff upon arrival if your child has any allergies or medical needs.

5.2 Weather Conditions and Rescheduling

  • In cases of wet weather or extreme heat, we will provide an indoor program where possible.
  • If no indoor option is available, we will notify you by 7:30 AM and offer alternative arrangements, including booking another day or providing a credit for future services.
  • If you wish to reschedule a camp day, please provide at least 48 hours’ notice. You may then book an alternative day or receive a credit voucher.
  • If your child is sick, please notify our customer service team at your location. We will make alternative arrangements, including booking another day or providing a credit voucher.

6. Tournaments

6.1 Withdrawals

  • Players who withdraw at least 48 hours before a tournament starts will be issued a credit voucher.
  • Withdrawals made within 48 hours will not be eligible for rescheduling, credit vouchers, or refunds.
  • If a tournament is cancelled due to wet weather or extreme heat, it will be rescheduled. If players cannot attend the rescheduled event, a credit voucher will be provided.

7. Filming and Photography

At Voyager Tennis, we strive to capture the essence of our community through photography and videography for marketing purposes. By participating in our programs and events, you agree to the following terms regarding the use of images and videos featuring you and your children:

7.1 Consent to Filming and Photography

  • By attending our events or participating in our programs, you consent to the filming and photography of you and your children for marketing and promotional purposes. These images and videos may be used in various media, including but not limited to our website, social media platforms, promotional materials, and advertisements.

7.2 Right to Opt-Out

  • If you or your child appear in any images or videos and would prefer not to be featured, please contact us at [email protected]. We will take all reasonable steps to accommodate your request and remove your images from future use.

7.3 Notification of Extensive Photography

  • For events where extensive photography or videography will be taking place, particularly including close-ups, we will send an SMS communication to notify you in advance. If you wish for yourself or your child not to be included in this photography, please reply to the SMS or contact us at [email protected].

7.4 Storage and Use of Images

  • All images and videos will be securely stored and used in compliance with relevant privacy laws. We may distribute your images and videos to contractors or third parties solely for the purpose of creating content for our business channels. We will not sell or distribute your images or videos for any other purposes without your explicit consent.

8. Safety of Customers and Staff

8.1 General Safety

  • Voyager Tennis is dedicated to providing a safe environment for all participants and staff. Customers are expected to adhere to all safety instructions provided by our team.
  • Any hazards or safety concerns must be reported to staff immediately.

8.2 Emergency Situations

  • In emergencies, please contact the emergency services on 000 and if safe to do so locate a staff member if present.

9. Liability Waiver

9.1 Assumption of Risk

  • Participation in tennis activities involves inherent risks. By enrolling in our programs, participants and/or guardians accept all inherent risks, including those that may lead to personal injury or property damage.

9.2 Indemnity

  • Participants and their guardians agree to indemnify and hold Voyager Tennis harmless from any liability resulting from participation in our activities, except in cases of gross negligence or wilful misconduct.

10. Telephone Calls

  • Customers consent to the recording of telephone calls for quality control and training purposes.

11. Customer Responsibilities and Conduct

10.1 Conduct

  • Customers are responsible for the conduct of themselves and any guests they bring to a Voyager Location. Customers must respect others at all times and are to not use profane language, are not to engage in abusive behaviour, and are not to engage in any form of violence or threats of violence.
  • All rules, signs, and staff instructions must be followed, including those related to health, safety, and venue use. Pets, except for guide dogs, are not permitted inside clubhouses or on courts. Smoking is prohibited across all venues, including car parks.
  • Not adhering to these rules will result in suspension or termination of services, and for abuse, threats, or violence the police will be called.

12. Suspension and Termination of Services

Voyager Tennis may immediately suspend or terminate a customer’s services or bookings if they or their guests violate the following:

  • Disregarding health and safety notices or other venue policies.
  • Engaging in conduct harmful to the safety of others, the harmony of the venue, or Voyagers reputation. Providing false or misleading information.
  • Failing to pay outstanding fees 14 days after the due date.
  • Abusing staff, verbally or physically.
  • Abusing other customers or guests, verbally or physically.
  • Failure to abide by any of our Terms and Conditions may also result in restriction of services, suspension of services, or termination of services provided to you.

12. Physical Activity

12.1 Risk Awareness

  • Participation in our programs involves physical activity. It is the responsibility of participants to ensure they are physically capable of engaging in such activities.

12.2 Medical Clearance

  • Participants with pre-existing medical conditions should seek medical clearance before participating.
  • Customers should inform us in advance of any medical conditions, allergies, or other health issues that may affect participation in our activities.

13. Updates and Changes to Terms and Conditions

Voyager Tennis reserves the right to modify these Terms and Conditions at any time. Any changes will be communicated through our website and other appropriate channels. Continued participation in our programs after such changes constitutes acceptance of the new terms.

14. Further Information

These Terms and Conditions are intended to provide clarity regarding services offered by Voyager Tennis. However, nothing in these T&C’s limits or excludes your rights under the Australian Consumer Law, as outlined in the Competitions and Consumer Act 2010 (Cth).
